Kaduna Polytechnic HND Admission Screening and Registration Process, 2025/2026

Newly admitted HND students of Kaduna Polytechnic are required to undergo a structured screening exercise before completing their full online registration. This screening process involves several verification stages and must be completed successfully. Kaduna Polytechnic has outlined specific screening procedures that newly admitted HND students must complete before full registration on the portal. The process is straightforward and achievable when students follow the step by step approach below.

Step 1: First Screening at the Department

The screening process begins at the student’s department. Here, departmental officers verify the student’s core documents. Once the documents are confirmed to be complete and valid, the student is issued a Clearance Form, which is required for the next stage.

Students should attend this screening with the following documents:

  • Admission letter
  • Admission acceptance slip
  • Admission acceptance receipt with Remitta
  • ND statement of result or ND certificate
  • Original O’level certificate (WAEC, NECO, or NABTEB)
  • Birth certificate
  • Primary School certificate
  • Certificate of indigene
  • Industrial Training (IT) certificate

A small but important tip: ensure all original documents are clean, clear, and readable. Torn, faded, or poorly handled documents often slow down the process and may lead to repeated visits.

After successful screening, the department issues the Clearance Form, which becomes an essential document for the next stage.

Step 2: Second Screening at the College Students Affairs Office

The next stage takes place at the College Students Affairs Office. This is the second level of screening, and students are expected to present their original documents along with one complete set of photocopies.

Students should prepare the following:

  • Application form
  • Admission letter
  • Clearance Form
  • Admission acceptance slip
  • Admission acceptance receipt with Remitta
  • ND statement of result or ND certificate
  • O’level certificate (WAEC, NECO, or NABTEB)
  • Primary School certificate
  • Birth certificate or Declaration of Age
  • Certificate of indigene
  • IT certificate
  • Letter of attestation

Students are reminded to ensure that all photocopies are complete and accurately reflect the original documents. Missing pages or unclear copies may delay the screening process.

Step 3: Third Screening at the Department (File Opening and Manual Forms)

After completing the screening at Students Affairs, the student returns to the department for file opening and completion of manual forms.

The student should present:

  • Photocopied documents stamped at Students Affairs during the second screening
  • Three (3) sets of manual Form B, each with a passport photograph attached
  • Manual registration form
  • Oath (OAT) form and Undertaking form

This stage involves substantial paperwork. Students are advised to write clearly, ensure consistency in names and details, and avoid excessive corrections. Minor errors can be corrected, but numerous mistakes may cause unnecessary delays.

Step 4: Update or Open File at Students Affairs (Second Visit)

Following the departmental file opening, the student returns once again to the Students Affairs Office. At this stage, the student submits the completed file and proceeds with payments and portal activation.

Documents required include:

  • Three (3) sets of photocopied documents inside the file, duly signed and stamped at both Students Affairs and the department
  • At least two (2) passport photographs

At this point:

  • The student’s portal is opened for payment of school and related fees
  • The student makes the required payments

After payment, the student returns to Students Affairs with:

  • School fees receipt with Remitta, signed and stamped at both the Accountant’s Office and the department
  • Online Form B signed at the department
  • SUG dues receipt (paid at the bank)
  • Medical fees receipt with Remitta, signed and stamped at the Bursary Department and the department

Students should note that the file may be retained for at least two days at this stage. This is normal and should not cause concern.

Afterward, the exam card button on the portal may show partial access or display “Administration Screening Pending.” If this occurs, the student should promptly return to the Students Affairs Office for resolution.

Step 5: Final Screening and File Submission

Once the student retrieves the file from Students Affairs, two final tasks must be completed: entrepreneurship registration and final file submission to the department.

Part 1: Entrepreneurship Form and Logbook (EDC)
The student visits the Entrepreneurship Development Centre (EDC), located opposite the Microfinance Bank on the Main Campus, with:

  • One photocopy of the school fees receipt with Remitta

At the EDC, the student:

  • Collects the entrepreneurship form and logbook
  • Selects a skill and obtains departmental endorsement
  • Photocopies the school fees receipt and proceeds to the Training Centre for the chosen skill

Students are encouraged to select a skill they can realistically attend, rather than making a rushed or random choice.

Part 2: Final File Submission to the Department
The student submits the completed file to the department with:

  • One set of stamped documents
  • One manual Form B
  • Entrepreneurship form
  • School fees and medical receipts with Remitta

Upon successful submission, the exam card button on the portal should be fully activated. Failure to complete this stage may result in the portal displaying “Academic Screening Pending,” which can prevent exam card access.

Important Notes for Students
  • All payments must be made only through the institution’s approved banks.
  • Students should collect and keep all receipts, including SUG dues and other related fees.
  • Students should not give cash to any individual.
  • All screening processes are free of charge.
Medical Screening Process

Medical screening is conducted at the school clinic on the Main Campus.

Students are required to present:

  • A photocopy of the medical receipt with Remitta, signed by the Bursary Department (opposite the Administrative Block)
  • Two (2) passport photographs

Medical screening time runs from 7:00 a.m. to 9:00 a.m.

Medical Test Schedule:

  • Every Tuesday and Thursday

Process Overview:

  • After completing the medical test form, the first copy is taken to the department for stamping
  • The second copy remains with the laboratory, and results are collected after at least one week
  • After collecting results, the student undergoes physical screening by a medical doctor to complete the process

Students are advised to complete the medical screening promptly, as delays at this stage often lead to portal access issues later on. Completing the process early helps avoid unnecessary complications.
